Booking Terms

These Booking Terms govern the use of Stillway's appointment booking features by patients ("you"). By completing a booking through the Stillway platform, you agree to these terms in addition to our general Terms of Service.


1. Booking Process

1.1 How Bookings Work

You may book appointments through:

  • The Stillway web interface at stillway.ai.
  • The Stillway booking widget embedded on a provider's website.
  • AI-assisted booking via ChatGPT or other supported AI assistants.

When you submit a booking request, it is transmitted to the provider, who confirms or declines based on their availability and policies.

1.2 Booking Confirmation

A booking is confirmed when you receive a confirmation message via email or SMS. Tentative or pending bookings are not guaranteed until confirmation is received.

1.3 Accuracy of Information

You are responsible for providing accurate contact information and appointment details. Errors in contact information may result in missed confirmations or reminders.


2. Cancellations and Modifications

2.1 Patient Cancellations

You may cancel or reschedule an appointment through the link in your confirmation message or by contacting the provider directly. Cancellations must comply with the provider's cancellation policy displayed at the time of booking.

2.2 Provider Cancellations

Providers may cancel appointments due to unavailability, illness, or other circumstances. If a provider cancels, we will notify you promptly and assist with rescheduling.

2.3 Late Cancellations and No-Shows

If you cancel after the provider's cancellation window has passed, or if you fail to appear for a confirmed appointment, the provider may charge a late cancellation or no-show fee as specified in their policy. Stillway may collect this fee on the provider's behalf.


3. Payment at Booking

3.1 Prepayment

Some providers require full or partial payment at the time of booking. Payment is processed securely through Stripe. By providing payment information, you authorize the charge.

3.2 Pay at Appointment

Some providers allow payment at the time of your appointment. In this case, no payment is collected at booking.

3.3 Refunds

Refunds for provider services are governed by the provider's refund policy. Stillway platform fees are non-refundable. If a provider cancels your appointment, any prepaid amount will be refunded within 5–10 business days.


4. Appointment Reminders

Stillway will send appointment reminders via SMS and/or email based on your preferences. You can manage reminder preferences in your account settings. Standard message and data rates may apply for SMS reminders.


5. AI-Assisted Booking

5.1 How It Works

When booking through ChatGPT or another AI assistant, your natural language request is interpreted by the AI and converted into a structured booking request. Stillway then processes this request on your behalf.

5.2 Accuracy

AI assistants strive for accuracy but may occasionally misinterpret requests. Always review your booking confirmation to ensure it matches your intended appointment details. If there is an error, contact support@stillway.ai immediately.

5.3 Data Handling

Booking requests made through AI assistants are subject to both these Booking Terms and the privacy policy of the AI provider (e.g., OpenAI's privacy policy for ChatGPT).


6. Provider Relationship

Your appointment is a direct agreement between you and the provider. Stillway facilitates the booking but is not a party to the service agreement and is not responsible for the quality of services provided by providers.
