Booking Terms

These Booking Terms govern your use of the online booking system when scheduling appointments with [Organization Name] ("your service provider"). By completing a booking, you agree to these terms.

The booking system is powered by Stillway, Inc. ("Stillway"), which provides the scheduling technology that [Organization Name] uses to accept online appointments. Your appointment is a direct arrangement between you and [Organization Name] — Stillway facilitates the booking but is not a party to the service agreement.


1. How Bookings Work

1.1 Booking Channels

You may book appointments through:

  • The online booking page at this website.
  • A booking widget embedded on [Organization Name]'s website.

When you submit a booking request, it is transmitted to [Organization Name], who confirms or declines based on their availability and policies.

1.2 Confirmation

A booking is confirmed when you see a confirmation screen after submitting your request. You will also receive a confirmation via email or SMS. If you do not receive a confirmation, the booking may not have been completed — please try again or contact [Organization Name] directly.

1.3 Accuracy

You are responsible for providing accurate contact information and appointment details. Errors in contact information may result in missed confirmations or reminders.


2. Cancellations and Changes

2.1 Your Cancellations

You may cancel or reschedule through the link in your confirmation message or by contacting [Organization Name] directly. Cancellations must comply with [Organization Name]'s cancellation policy, which is displayed at the time of booking.

2.2 Provider Cancellations

[Organization Name] may cancel appointments due to unavailability, illness, or other circumstances. If your appointment is cancelled, you will be notified promptly and assisted with rescheduling.

2.3 Late Cancellations and No-Shows

If you cancel after the cancellation window has passed, or fail to appear for a confirmed appointment, [Organization Name] may charge a late cancellation or no-show fee as specified in their policy. Stillway may collect this fee on behalf of [Organization Name].


3. Payment

3.1 Prepayment

Some services require full or partial payment at the time of booking. Payment is processed securely through Stripe or Square. By providing payment information, you authorize the charge.

3.2 Pay at Appointment

Some services allow payment at the time of your appointment. In this case, no payment is collected at booking.

3.3 Refunds

Refunds for services are governed by [Organization Name]'s refund policy. Stillway platform fees, if any, are non-refundable. If [Organization Name] cancels your appointment, any prepaid amount will be refunded within 5–10 business days.


4. Appointment Reminders

You may receive appointment reminders via SMS and email based on your notification preferences. You can manage reminder preferences in your account settings or by using the links in reminder messages. Standard message and data rates may apply for SMS.


5. AI-Assisted Booking

5.1 How It Works

The booking system includes an AI-assisted feature that allows you to describe your appointment preferences in natural language. The AI interprets your request and finds available appointments that match. AI features are powered by OpenAI.

5.2 Accuracy

AI-assisted booking strives for accuracy but may occasionally misinterpret requests. Always review your booking confirmation to ensure it matches your intent. If there is an error, contact [Organization Name] directly.

5.3 Data Handling

Stillway does not use your booking data to train AI models, and OpenAI is contractually prohibited from using data submitted through Stillway for model training.


6. Your Relationship with the Service Provider

Your appointment is a direct agreement between you and [Organization Name]. Stillway facilitates the booking but is not responsible for the quality, safety, or legality of services provided by [Organization Name].


7. Age Requirement

You must be at least 18 years old (or the age of majority in your jurisdiction) to book an appointment. If you are under 18, a parent or legal guardian must complete the booking on your behalf.


8. Limitation of Liability

Stillway's role is limited to providing the booking technology. To the maximum extent permitted by law, Stillway is not liable for any damages arising from services provided by [Organization Name], appointment disputes, or the accuracy of information provided by [Organization Name] through the platform.


9. Changes to These Terms

These Booking Terms may be updated from time to time. The current version is always available at this URL with an updated effective date. Material changes take effect 30 days after posting. Your continued use of the booking system after the updated effective date constitutes acceptance. If you do not agree to the changes, you should discontinue use of the booking system before the effective date.


10. Governing Law

These Booking Terms are governed by the laws of the State of Delaware, without regard to conflict of law principles. Any disputes arising under these Booking Terms will be subject to the exclusive jurisdiction of the state and federal courts located in Wilmington, Delaware.
